SYSPRO WAVE 2019 TERMS & CONDITIONS
These are the terms and conditions which apply to all conferences and events managed, organized, or executed by SYSPRO Impact Software, Inc. and form an agreement between SYSPRO and the attendee. We will not file a copy of our agreement with you. These terms and conditions are available in the English language only.
By reserving your WAVE 2019 registration, you accept these terms and conditions. You should read them carefully before registering. We recommend you save a copy of them for future reference.
DEFINITIONS
These Terms & Conditions apply to every person registering as an attendee (SYSPRO customer, Channel Partner, employee, exhibitor) for the 2019 Global SYSPRO Customer Conference (WAVE 2019), to be held in Huntington Beach, CA from September 11-13, 2019 (hereafter referred to as “the conference”), organized by SYSPRO (hereafter referred to as “the conference organizers”). Additional Terms & Conditions may apply for employees, Channel Partners, and exhibitors and are available to review if needed.
All references to a date or a deadline, mentioned in these terms and on other conference documents, refer to Pacific Standard Time (PST).
CONFERENCE REGISTRATION
Registration is available via the WAVE Conference website. Only fully completed registration forms will be accepted. Credit card payment is due in full at time of registration. Check payment must be received no later than 10 days after registration is completed. An invoice and confirmation of payment will be sent via email after the receipt of your registration. If the maximum attendee capacity is reached, the conference organizers reserve the right to refuse additional registrations.
The registration fee for attendees includes entry to the General Session, the Sandbox Exhibition Hall, the wine and cheese networking mixer, Session Labs, Breakouts, meals provided by WAVE, and the Beach Party Gala evening. Please note that the security personnel of the conference center are responsible for granting or denying access to conference halls in case of overfilling according to room capacities and national legislation. The conference organizer cannot guarantee available space in every session.
All conference materials will be distributed on-site. The conference organizers cannot guarantee that a conference bag and other conference materials will be available for late registrations.
Guests who purchase an official WAVE Guest Conference Pass will be allowed to attend the Beach Party Gala evening only. They must be linked to and accompanied by a regular attendee. Only one guest can be registered with one attendee.
Minors under 18 years of age are not permitted to attend WAVE or any events associated with WAVE. Parents/guardians of children agree to take full responsibility for them while at the conference site and at the Hyatt Regency Huntington Beach Hotel.
Attendees must be 21 years of age or older to attend the Beach Gala Party and the Wine & Cheese Reception.
REGISTRATION CONFIRMATION/RECEIPT
A registration confirmation/receipt will be sent by email after the online registration, the related payment, and any required information has been received. Attendees may be requested to present this registration confirmation/receipt at the registration counter as they arrive at the conference as proof of their registration and payment. Personal ID may also be required.
METHODS OF PAYMENT
Registration payments will be required in full at the time of registration and in USD only, using a credit card or by check.
Check payment is due 10 days from the time registration is submitted. Early Bird Registration rates expire June 17, 2019. If you have not yet submitted payment by June 27, your registration fee will increase to Regular Registration Fees. If SYSPRO has not received funds at the time of check-in at the conference, you will be asked to pay by credit card in order to receive a conference badge. SYSPRO is not liable for any travel and lodging expenses if the attendee is not permitted into the conference due to nonpayment of the registration fee. SYSPRO reserves the right to remove the option of payment by check at any time.
SYSPRO is not liable for any additional charges for attendee’s transportation or lodging due to nonpayment of the SYSPRO WAVE conference.
Check payments will not be accepted after July 19, 2019. After that date, payment is only accepted via credit card.

REGISTRATION MODIFICATIONS
Modifications can be made to a reservation via the registration website. A new registration form for the substitute attendee should NOT be submitted. Name changes will be accepted by email indicating the old and new names including the required contact details until August 1, 2019. After this date, all name changes must be carried out on-site and paid directly.
CANCELLATION POLICY
Notice of cancellation (e.g. in case of sickness, lack of funding, or any other personal reasons) must be made by modifying registration via the conference website. The following cancellation fees will apply:
- Early Bird - $250 cancellation fee per an attendee
- Regular – 50% refund of total registration fee. This includes extended education course and guest fees.
- Late – No refund
No refunds will be granted for unattended events or early termination of attendance in case of cancellation of speakers, lack of space in the conference room, or any other incidents during the conference which are beyond the control of the conference organizers.
By registering for WAVE, participants agree that neither the organizing committee nor SYSPRO assume any liability whatsoever. Attendees are requested to make their own arrangements for health and travel insurance. The conference fee does not include health or travel insurance.
Hotel reservation cancellations and modifications are the sole responsibility of the attendees and should be handled directly with the hotel. SYSPRO is not responsible for any lodging and transportation modifications or charges and fees should the attendee need to cancel or modify their registration.
DISCOUNTS FOR CONFERENCE AND TESTIMONIAL PARTICIPATION
SYSPRO is welcoming customers to share their story at our WAVE 2019 Customer Conference in Huntington Beach, CA. Complete the application form and a member of the SYSPRO team will contact you if you have been selected to speak or do a testimonial activity. Applications must include your full name, company name, job title, contact information, and company URL.
Those selected will be given a rebate equal to the following amounts of the WAVE 2019 Registration Fee:
- Customer Speaker at WAVE Customer Conference: 50% Rebate
- Video Testimonial Filmed at Customer Location: 100% Rebate—full conference pass
- Video Testimonial Filmed at WAVE Customer Conference: 50% Rebate
- Written Customer Success Testimonial: 50% Rebate
Rebates will be submitted to the attendee once the conference is over and the speaking engagement or testimonial has been completed and signed off by both SYSPRO and the customer. Rebates are not cumulative, can only apply to a single registration pass, and can’t be combined with other rebates.

CONFERENCE FILMING AND PHOTOGRAPHY
Filming and photography may take place at all locations and events of the WAVE Customer Conference. By registering and attending, you consent to your image and likeness being used in SYSPRO marketing and promotional materials without compensation. Attendees waive the right to inspect or approve the finished product or products and the advertising copy or other matter that may be used in connection therewith or the use to which it may be applied.
CANCELLATION OF THE CONFERENCE
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the attendee after deducting costs up to total amount of registration charged already incurred for the organization of the conference and which could not be recovered from third parties.

MODIFICATION OF THE PROGRAM AND AGENDA
The conference organizers reserve the right to modify the program and agenda at their discretion and at any time. No refunds will be granted in case of cancellation of speakers, lack of space in session rooms, or any other incidents during the conference which are beyond the control of the conference organizers.
LOST NAME BADGE
The WAVE conference name badge must be worn at all times by all attendees during the conference. Access to the conference venue will not be granted without the name badge issued by the conference organizer. If an attendee loses, misplaces or forgets the name badge, they must request a replacement from the conference organizer. Upon handing out a new name badge, the lost badge will be deactivated and become invalid.
VISA REQUIREMENTS FOR INTERNATIONAL ATTENDEES
It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees who require an entry visa must allow sufficient time for the application procedure. Attendees should contact the nearest United States embassy or consulate to determine the appropriate timing of their visa applications.
Note: United States embassies and consulates-general are independent decision-making agencies for visas. SYSPRO will not appeal against the rejection of a visa application, and will not intervene on behalf of the attendee in case of a rejection or to speed up the procedure. Conference organizers and/or the WAVE Registration Department will not directly contact embassies and consulates on behalf of visa applicants.
DATA PROTECTION AND SHARING OF CONTACT DETAILS
The protection of your data and the observance of your right of informational self-determination with regard to the collection, processing, and use of your personal data is important to SYSPRO.
SYSPRO will collect and store all personal data via the registration page for the preparation and execution of the 2019 SYSPRO Customer Conference.
SYSPRO periodically performs e-mailings to attendees on behalf of third parties regarding activities at the conference or other communications which may be of interest to attendees. Email contact details of attendees will not be passed on to third parties. Participants may opt out of these correspondences at any time. This will not affect official correspondence from SYSPRO.
A number of exhibitors will be using a lead retrieval system linked to the participant data base and may ask you to scan your badge in order to obtain your contact information. This information contains postal address, email, and phone number as provided during the registration process. SYSPRO is not liable for personal data once the exhibitor has scanned your badge.
Scanning of your badge should always happen on a voluntary basis, with exception of admittance into the General Session, Breakout Sessions/Labs, the evening Beach Gala, and meals. Please report any misuse of the scanning device to the exhibition management.
LIABILITY
The conference organizers shall be held liable in the framework of a duty of care as a respectable businessman according to statutory provisions. The liability of the conference organizers – for whatever legal reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The attendee shall take part in the conference at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by SYSPRO.
FULFILMENT AND JURISDICTION
The terms of this contract shall be fulfilled in Costa Mesa, CA and, in the event of any legal claims arising from either party, Orange County, CA shall be the sole court of jurisdiction.
CODE OF CONDUCT
SYSPRO is committed to creating an environment where everyone can participate without harassment, discrimination, or violence of any kind. All meeting participants must be treated with respect and consideration. Registration for the WAVE Customer Conference is considered an agreement to abide by this code of conduct.
Harassment of any participant (attendee, Channel Partners, speaker, volunteer, exhibitor, staff member, service provider, organizer, conference guest, venue guest, or venue staff) will not be tolerated. Unacceptable behavior includes (but is not limited to) unwanted verbal attention, unwanted touching, intimidation, stalking, shaming, or bullying.
Discrimination on the basis of gender or gender identity, sexual orientation, age, disability, physical appearance, race, religion, national origin, or ethnicity will not be tolerated. Harassment presented in a joking manner is still harassment and constitutes unacceptable behavior. Retaliation for reporting harassment is also unacceptable, as is reporting an incident in bad faith.
For the safety of all attendees, SYSPRO Conferences are ‘weapons free’ and all conference participants, including staff, volunteers, and attendees, are banned from possessing any object or substance intended to cause injury to others, including but not limited to firearms.
Any violation of this Code of Conduct will result in immediate termination of attendance and removal from the 2019 SYSPRO Wave Customer Conference with no refund.
